This is a full-time, permanent job offering a competitive salary of £24,000 – £32,000, depending on experience. Role Responsibilities
This Commercial Property Legal Secretary job involves supporting a busy team of fee earners within the Commercial Property department. The incoming Commercial Property Legal Secretary will take responsibility for a broad variety of administrative and legal support duties, requiring strong technical skills and an excellent understanding of commercial conveyancing processes.
Key responsibilities include:
- Managing client and matter files in compliance with risk management protocols.
- Filing and managing correspondence and legal documentation electronically and in hard copy.
- Providing comprehensive secretarial support including audio typing, document drafting and dictation.
- Liaising directly with clients, scheduling appointments, and supporting client communications.
- Conducting property searches via Searchflow or directly with authorities.
- Using HM Land Registry for document retrieval and pre-completion procedures.
- Assisting with the preparation of invoices, statements of account and completion documentation.
- Preparing documents using legal resources such as Practical Law, Laserforms, and firm precedents.
- Supporting post-completion work including SDLT submissions and registrations.
- Scanning deeds and preparing title bundles for upload to the Document Management System (DMS).
- Collaborating with internal departments and third parties to ensure service excellence.
Person Specification
The successful Commercial Property Legal Secretary will have prior experience supporting a Commercial Property department and be highly competent in legal secretarial tasks. This is not an entry-level job, and a minimum of 6 months’ experience in Commercial Property is essential.
You will also have:
- Fast, accurate typing and document production skills.
- Prior experience using the Land Registry and SDLT systems.
- Strong administrative, time management and organisational abilities.
- A team-oriented attitude with a proactive and professional approach.
- Confidence in communicating with clients and legal professionals.
- High-level IT skills, including Microsoft Office (Word, Outlook and Excel).
