Job Responsibilities
In this IFA Admin Team Manager job, you will oversee administrative workflows and ensure the smooth daily running of a busy Financial Planning office. Responsibilities include:
- Overseeing and supporting a small team of administrators, ensuring efficient and timely daily workflow.
- Monitoring attendance, managing absences, and approving holidays in line with internal policies.
- Managing office supplies and liaising with external suppliers.
- Supporting staff with their training needs
- Acting as a central communication point between internal departments to maintain consistency across workflows.
- Assisting the Directors with administrative support, compliance checks, and operational reporting.
- Ensuring all documents and processes comply with FCA requirements.
- Supporting Financial Advisers with administration related to financial plans, pensions, and investment business.
- Maintaining, updating, and verifying client records within the back-office system.
- Processing transfers, applications, servicing tasks, surrenders, fund switches, and policy amendments.
- Supporting in the preperation of valuations, review packs, and new business documents for client meetings.
- Overseeing the handling Letters of Authority and liaising with product providers and third parties.
Person Specification
The incoming IFA Admin Team Manager should be a highly organised IFA / Financial Planning professional with supervisory experience. Key attributes include:
- Experience as an IFA Admin Team Manager, Senior IFA Administrator, or Financial Planning Administrator.
- Prior experience supervising or mentoring administrative teams within an IFA or Financial Planning environment.
- Strong understanding of FCA requirements, pensions, investments and mortgage processes.
- Ability to manage workflows, delegate tasks, and maintain consistent team performance.
- Excellent verbal and written communication skills when dealing with clients, advisers, brokers and providers.
- High levels of accuracy, strong data integrity and excellent organisational skills.
- Positive and proactive attitude, with the ability to identify improvements and support team development.
- Ability to work independently while collaborating effectively with wider operational team.
